Job Title: Program Assistant
Department: 4J Wellness Clinic
Responsible to: Occupational Health Director
Hours: 40 Hours/Week (TEMPORARY)
Schedule: Monday – Friday, 8:30am – 5:30pm
Pay Range: $16.60 – 24.90

Job Summary: Responsible for scheduling, registration, filing, and all associated paperwork for 4J Wellness Clinic. May also be required to assist with pre-authorizations, referrals, and obtaining medical records from specialists, PCPs, and insurance companies. Provides clerical support to clinic staff, answers phones, greets clients, and triages needs. This position will have a scheduled one-hour meal period. This is a temporary position. This position requires proof of full COVID-19 vaccination at time of offer.

Education & License Requirements: High School diploma or equivalency. Health Records Administration degree or equivalent experience required.

Minimum Qualifications & Experience: Keyboarding skills adequate to accomplish required department data entry. Must have experience with PC and windows-based programs and the ability to organize work projects, prioritize, problem solve, and function independently. Desired skills include: Good communication and excellent interpersonal skills required. Ability to maintain professional demeanor and confidentiality in dealing with others. Ability to handle detailed work load appropriately and assure follow through. Must be able to multi-task and work in fast-paced environment.

Essential Job Functions:

  • Greet clients and provide excellent customer service.
  • Register patients in computer system.
  • Answer phones and schedule appointments.
  • Coordinate patient-care documentation, send and receive materials and reports.
  • Collaborative verbal communication skills.
  • Functions as an integral member of a clinic team.
  • Order procedures and supplies.

Marginal Job Functions: Move equipment, charts and supplies, light cleaning, other tasks as required.
